Two terms come up constantly in executive search: the long list and the shortlist. Understanding the difference between them explains where the real evaluation work in a search actually happens.

What a long list is

The long list is the output of market mapping: every person identified as potentially relevant to the role, often ten to twenty or more names, based on their current position, experience, and apparent fit with the brief. At this stage, most of the assessment is still based on external information rather than direct conversation.

How it narrows to a shortlist

Each person on the long list is approached individually. Some are not interested, some are not actually a fit once the details of the role are discussed, and some move forward into structured conversations. The shortlist, usually three to six candidates, is made up of the people who both remain genuinely interested and have been assessed as strong matches for the defined success profile.

Why the size of the long list matters

A long list built from a thin or rushed market map tends to produce a thin shortlist, since there is less to filter from in the first place. A long list built from thorough mapping gives the search more room to be selective, which is part of why the mapping stage, done before a client sees any names, matters so much to the eventual quality of the shortlist.
